Who we are
Newbound Farm is a working farm estate in Teversal, Nottinghamshire, letting a two-bedroom holiday property called Orchard Barn. In data protection terms we are the controller for the personal data described below.
What we collect, and when
- Enquiries — when you use the enquiry form we collect your name, email address, and anything you choose to add: a phone number, the dates you have in mind, how many guests, dogs or horses are coming, and the message itself.
- Bookings — bookings and payments are taken through our booking provider, Lodgify, and their own privacy notice covers the data you give them. Bookings made through Airbnb are governed by Airbnb’s privacy policy. We receive from them the details we need to host your stay.
- Website analytics, only if you agree. We use Google Analytics to count visits and see which pages people read. It is switched off until you press Accept on the cookie notice, and if you press Decline it stays off and no cookie is set. It tells us how many people visited a page, roughly where in the world they were and what kind of device they used — never who you are.
- No advertising. This website sets no advertising cookies and we do not use your visit to target you with adverts anywhere else.
How we use it
We use enquiry details only to answer your enquiry and, if you go on to book, to arrange and host your stay — including any turnout for horses, hot tub use or housekeeping you have asked for. Our lawful basis is legitimate interests (responding to someone who has contacted us about a stay) and, once you book, performance of a contract.
We do not sell your data, and we do not add you to a marketing list on the strength of an enquiry.
Who sees it
Enquiries sent through this site are delivered to Newbound Farm by Dalton Digital, who build and host the site on our behalf and act as our processor. Bookings and payments are handled by Lodgify, and by Airbnb where you have booked through them. If you accept the cookie notice, Google receives the analytics data described above. Each of those providers processes your data under its own terms.
How long we keep it
Enquiries that do not lead to a booking are kept for up to 12 months, so that we can pick up the conversation if you come back to us. Booking records are kept for six years, as tax law requires.
Your rights
Under the UK GDPR you can ask us for a copy of the personal data we hold about you, ask us to correct it or delete it, ask us to restrict how we use it, or object to our using it. To do any of that, send us a message through the enquiry form or message us on Facebook. We will respond within one month.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk.
Changes to this policy
If we change how we handle personal data we will update this page and the date at the top of it.
